Position Description:

The office manager position is responsible for overall front office activities, including the reception area, mail, large purchasing requests and facilities. Also, responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal office moves and providing arrangements for office meetings. Coordinates with dental director and other clinical staff to accomplish goals.

 

Position Qualifications:

  • Education: Bachelor’s degree preferred
  • Experience: At least two years of previous experience in dental front office management strongly preferred.
  • Licenses, Certifications: Certificates showing training in office management and electronic dental record software preferred
  • Specialized Skills: Proficiency in Microsoft Word, Excel, and Outlook. Must be self-motivated and able to problem solve. Must be able to communicate clearly and effectively in person, by phone, fax, letter, email, and text messaging.

 

Position Responsibilities and Essential Functions:

  • Manages and supervises all coding and billing to third party vendors and/or patients.
  • Completes all scheduling and confirmations for patient treatment the day before the appointment.
  • Maintains an active ‘Call List’ for filling vacant time slots.
  • Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
  • Supervises and coordinates overall administrative activities for the Dental Office.
  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
  • Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
  • Supervises the maintenance of office equipment, including copier, fax machine, etc.
  • Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
  • Participates as needed in special department projects.
  • Coordinates with dental director and other clinical staff as needed to make informed decisions and complete group tasks

Physical Demands and Work Environment:

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands and fingers to handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Supervisory:

  • This position manages all employees of the department and is responsible for the performance management/evaluations of the dental assistants and hiring of the employees within that department.
