Description
Responsible for all aspects of GHC’s front office operations, including day-to-day front desk operations and facilities management. The Office Manager performs all duties of the front desk position and is responsible for the supervision of the front desk, and maintenance staff. Responsible for providing administrative support for human resources tasks, and ongoing clerical support for Senior Leadership and the Board of Directors.
ESSENTIAL DUTIES AND RESPONSIBILITIES:- Create and implement administrative workflows and provide ongoing process improvement.
- Responsible for the recruitment, supervision, training, and evaluation of the front desk, and maintenance staff
- Ensure revenue cycle efficiency and accuracy through audits and in collaboration with the Billing & Coding Specialist
- Prepares and maintains clinic staffing schedules in scheduling software (electronic health record)
- Monitor patient wait times and serve as liaison between administrative and clinical operations
- Resolves patient complaints and escalates issues as needed to the appropriate leader
- Review, update and maintain department policies and procedures
- Ensure front desk operations are compliant with all applicable regulations and grant requirements
- Perform all duties associated with the Front Desk II/Lead position
- Assist with patient insurance enrollment and provide basic patient navigation services when needed
- Compile reports to support Operations and Clinical Quality as requested
- Coordinates and supervises facility and grounds maintenance, repairs and projects
- Responsible for onboarding new employees to include collection of new hire documents, orientations, and required training
- Create and maintain HR files
- Monitor employee benefit eligibility as serve as the liaison to benefits brokers in coordination with the Chief Financial Officer
- Work with the Chief Operations Officer and Chief Medical Officer for initial and renewal credentialing and privileging in accordance with established policies and procedures
- Provides general clerical support to Senior Leadership as requested and may include but is not limited to; travel arrangements, reimbursements, conference registration, supply ordering, copying, and filing
- Provides support and coordination of Board and Committee meetings including scheduling, creating board packets, taking meeting minutes, ordering food and serving as GHC’s Board Liaison
- Other duties as assigned
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Work Experience: Three to five years’ healthcare or equivalent office management experience in a different industry, minimum of two years of supervisory experience. Community Health Center experience preferred.
Education, Certification and Licensure: High School Diploma required, Associate’s or Bachelor’s degree preferred.
Knowledge, Skills, and Abilities:
- Strong understanding of the English language, including grammar, usage, and composition
- Excellent writing skills
- Basic computer skills and experience with computer programs such as Microsoft Office
- Ability to speak clearly, concisely, and effectively; ability to listen to and understand information and ideas presented verbally
